A centralized repository for brand enforcement documents
The challenge
Before this feature, onboarding teams and customers relied on scattered solutions such as Google Drive, spreadsheets, and long email chains. Documents were difficult to locate, required fields were often missing, and linking files to the right brand assets created inefficiencies and delays.
The challenge was to design a smooth process that supported both single and bulk uploads while asking users to provide all the required metadata. This also meant creating a seamless way to link documents to existing assets, so that enforcement actions could be carried out quickly without manual rework.
Goals
The project aimed to centralize all brand-related documents into one repository. A key requirement was to enforce completion of mandatory fields to make each document ready for enforcement purposes. The experience had to support bulk uploads without overwhelming users, while also remaining intuitive for those uploading a single document.
At the same time, the user interface needed to be clear enough for customers and efficient enough for internal onboarding teams. Finally, the solution had to lay a scalable foundation for future expansion into other document categories.
Impact and Adoption
Since launch, the onboarding team has eliminated the need for spreadsheets to track documents. Uploading time was reduced by approximately seventy percent, from more than ten minutes to under three minutes per batch. Customer adoption has been strong, with eighty percent of new clients uploading their documents directly through the platform.
The onboarding team confirmed the value of the project by saying, “We don’t need workarounds anymore — everything is in one place.”
